Overview of Community Member Management

Community groups in Concours Pro are the backbone of your online community, bringing people together to share ideas, discuss topics, and build connections. Effective member management keeps these groups productive and engaging.

This guide walks you through managing members, from defining roles to inviting and migrating users, ensuring your community runs smoothly.


Understanding Member Roles

Concours Pro communities use a clear hierarchy of roles, each with specific responsibilities to keep things organised. Here’s a rundown of the four main roles:

Owner

The top role with full control over the community. Owners can manage members, moderate content, and even mark the group as Inactive if needed.

Note: Groups can only be marked Inactive, not deleted.

Admin

Admins handle member management tasks like adding or removing members and assigning admin privileges to others, helping share the workload.

Moderator

Moderators keep the community on track by monitoring content, ensuring it follows guidelines, and maintaining a respectful environment.

Contributor

Contributors are the heart of the community, posting discussions, commenting, and engaging with likes to drive interaction.

Knowing these roles helps you assign the right permissions and keep your community running smoothly.

  • Create Posts: All roles can create and share posts, but Owners and Admins can control who gets this ability.
  • Moderate Posts: Owners, Admins, and Moderators can moderate or delete posts to keep content in line with guidelines.
  • Manage Members: Owners and Admins can add, remove, or change member roles.
  • Mark Group Inactive: Only Owners can mark a group as Inactive to prevent accidental or unauthorised changes.

Inviting Members to Your Community

Navigate to the Members tab and click Invite Members to invite via email.

Add an individuals Name and Email, optionally set administrator priviledges, then click Send Invite.

From there you can also copy the unique group URL from your Concours Pro community and share it via your own email or SMS campaigns. This makes it easy for members to join.

Tip: Create custom values for each group URL in Concours Pro. Use these in your campaigns or automations. If you update the URL, simply change the custom value, and it’ll update everywhere it’s been used.


Modifying Member Roles and Access

Owners and Admins can adjust member roles and access levels. Here’s how:

  • Log in to the community and go to the People tab.
  • Use the search or filter options to find the member you want to update.
  • Click the three dots next to their profile.
  • Choose the new role or access level from the menu.

This lets you tailor permissions to suit each member’s responsibilities.

Changing Email/Phone Visibility

Members can control whether their email or phone number is visible. They can do this by clicking their initials in the top-right corner, going to View or Edit Profile, and adjusting settings in the Social Media tab.


Removing Members from a Community

Owners and Admins can remove members if needed. Follow these steps:

  • Log in to the community and head to the People tab.
  • Search or filter to locate the member.
  • Click the three dots next to their profile.
  • Select Remove from Group to revoke their access.

This ensures you can manage membership effectively when circumstances change.


Migrating Members from Existing Platforms

Moving members from another platform to Concours Pro’s Communities feature is straightforward:

  • Create a new group in Concours Pro, using a name that matches or aligns with your existing platform.
  • Customise the group’s branding, including the custom domain and name, to match your previous setup.
  • Send welcome emails to your existing members, letting them know about the move and inviting them to join the new group.
  • Pin a welcome post in the group to introduce new members and set expectations for participation.

This keeps the transition smooth and familiar for your members.


Frequently Asked Questions

Can I set up automated invitations for new clients added to my CRM?

Currently, Concours Pro doesn’t support automated invitations. You can manually invite new clients by sharing the group URL. Automated invitations are on our roadmap for future updates.

I have a large list of potential members. Can I invite them all at once?

Yes, send a mass email or SMS campaign with the group URL included. This lets multiple members join easily.

Can members invite others to the group, or is this only for Admins and Owners?

Members can share the group URL to invite others. However, Owners and Admins can remove any unwanted members to maintain control. Private group options are planned for the future.

I sent an invitation, but the member hasn’t joined yet. Can I resend it?

Yes, simply resend the group URL. They may have missed it or not had time to join yet.

Can I personalise invitations for potential members?

You can personalise invitations using your CRM, email, or SMS platform when sharing the group URL. Personalisation within Concours Pro’s Communities feature isn’t available yet.

What happens when an invited member tries to join the group?

When they click the group URL, they’re directed to the group and can request to join. They’re automatically admitted after signing up.

Can I track who has accepted the invitation and joined the group?

Yes, check the People tab to see all group members, including recent joiners, to monitor membership and engagement.
