Managing User Passwords For Your Client Portal

Contents

Overview of Password Setup

When users get access to your Concours Pro courses, community groups or client portal, they don’t receive auto-generated passwords.

Instead, they get an email with a secure magic link to set their own password. This approach boosts security, simplifies the login process, and saves you from manually handling credentials.

The process is the same for first-time logins or password resets, ensuring a smooth experience for both course and portal access.

Setting or Resetting Passwords

Here’s how users can set up or reset their passwords, depending on how they gain access to your courses or portal.

After Completing a Purchase

When a user buys a course or membership, they enter their email and name during checkout. Clicking Proceed to checkout enrolls them and triggers an automated email with a magic link. This link prompts them to set their password and access their content.

Manual Enrollment by Admin

Admins can enroll users manually by going to the contact’s profile in Concours Pro and selecting an offer from the dropdown. This sends the same magic link email, letting the user set their password and log in.

Automated Workflows or Smart Lists

Users can be enrolled automatically via workflows or smart list actions, triggered by events like Offer Access Granted or Membership New Signup. These automations send an email with a magic link for the user to set their password and gain access.

Thank You Page

After signing up, users see a confirmation page with a View Dashboard button. Clicking it takes them to a page where they’re prompted to set a new password before accessing the course or portal.

Setting the Password

When users click the magic link, they’re prompted to enter and confirm a new password. Once set, they’re automatically redirected to the course or membership dashboard.

Resetting a Forgotten Password

If a user forgets their password, they can visit the login page and click Forgot Password. They enter their email, and a password reset link is sent.

This link lets them set a new password and logs them in automatically.

Note: The reset link expires after 2 hours, so they need to act quickly.

Frequently Asked Questions

How do I make sure users get the password setup email?
Check that the user’s email is correct in the system and that the Courses Login URL email is enabled. You can also review email delivery logs to confirm it was sent.

What if a user says they didn’t receive the password reset email?
Verify their email address in Concours Pro and check the delivery logs. Ensure your email domain is authenticated (e.g., with SPF, DKIM) to avoid spam issues. You can manually resend the email if needed.

Can I reset a user’s password for them?
For security, admins can’t directly reset passwords. Guide the user to use the Forgot Password option or resend the setup email from the system.

How do I troubleshoot password setup problems?
Check the user’s account status in the CRM to confirm they’re added to the portal. Review email logs for issues like bounces or spam filtering. If problems persist, reach out to Concours Pro support.
