Service Calendars in Concours Pro are designed for service-based businesses, streamlining the booking process by grouping various services into one scheduling link. This guide will walk you through the steps to create and customise a Service Calendar, ensuring that all functionalities are fully utilised.

Calendar Settings and Essentials

  1. Go to Calendars > Calendar Settings.
  2. Click Create Calendar and select Service Calendar.
  3. Enter essential information such as:
    • Service Name: A descriptive name for your calendar.
    • Service Description: A brief summary to inform users about the service.
    • Staff Assignment and Location: Assign staff members and choose their preferred meeting location from:
      • Phone: Default is the account’s phone number, but this can be edited.
      • Address: Default is the business address, which can be modified.
      • Custom: Enter a custom value, such as a store address or static Zoom link.
      • Zoom: Unique Zoom links if integrated.
      • Google Meet: Unique Google Meet links if integrated.
    • URL/Slug: Define a unique link for your calendar.
    • Duration: Specify how long each service will take.
    • Availability: Set when the calendar will be open for bookings.
  4. For further customization, click on the Advanced Settings button.

Adding Service Details

  1. Upload Service Logo: This will be visible in the appointment booking widget.
  2. Link to Service Menu: If adding this calendar to a Service Menu, select a group to categorize similar services.
  3. Appointment Invite Title: This title will appear in calendars like Google or Outlook.
  4. Event Color: Choose a color that will sync with events in Google Calendar.

Note: Service Calendars primarily cater to physical services and do not support Zoom/Google Meet links.

Configuring Availability

  1. Weekly Working Hours: Set up regular working hours that repeat weekly.
  2. Date-Specific Hours: Customize availability for specific dates.
  3. Service Duration: Set how long each appointment will last.
  4. Service Interval: Define the time between appointments.
  5. Post Buffer Time: Add buffer time after appointments for preparation.
  6. Minimum Scheduling Notice: Specify how far in advance bookings can be made.
  7. Date Range: Determine how many days in the future appointments can be scheduled.

Note: The default slot interval is 15 minutes and cannot be changed.

Forms & Payments

  1. Forms: Choose between a default form or a custom form to collect client information. You can also:

    • Toggle the consent checkbox on/off.Customize the consent message.
    • Note: Custom forms apply only to direct bookings on a Service Calendar.
  2. Confirmation Page: After booking, choose to display a thank you message or redirect users to a specific URL.
  3. Payments: If accepting payments, ensure your payment gateway is integrated. Set the payment amount, which will apply to the main attendee only.

Notifications & Customizations

  1. Notifications: Choose who receives notifications and whether to allow Google to send invites or updates to attendees. Decide if contacts should be assigned to staff members when an appointment is booked.
  2. Additional Notes: Include notes in the Google Calendar invitation. Ensure that “Allow Google Calendar to Send Invitations” is enabled.
  3. Customizations – Service Cover Image: Upload an image to be displayed in the service menu.
  4. Staff Selection: Enable or disable the option for clients to choose a staff member during booking.

Assigning Rooms & Equipment

Select from a list of rooms and equipment that have been created. These will be associated with the service calendar and booked along with it.

Once all steps are completed, click Save, and your Service Calendar will be ready for bookings!
