Overview of the Contact Details Feature
The Contact Details feature in Concours Pro lets you add or update customer information—like names, phone numbers, or emails—right from your AI chatbot conversations. It’s designed to make keeping your customer records accurate and up to date a breeze, saving you time on manual updates. Here’s how to get started and make the most of it:
- This feature only updates empty fields in a customer’s record.
- Phone numbers and emails are automatically captured, so you don’t need to set up actions for those.
- You must clearly ask customers for their details in the chatbot’s prompt. Without this, the bot won’t request the info, and the field won’t update.
Step 1: Access the Contact Details Feature
Head to the Chatbot Goals tab in Concours Pro. From there, click the Add Contact Details button to dive into the settings.
- If you’re setting up a new chatbot, make sure to name it first before accessing this feature.
Step 2: Set Up Contact Fields
Click the Add Contact Details button again, then fill in the fields you want to update with the customer’s information.
How to Configure the Fields
To get the best results, follow these steps to set up your contact fields:
- Action Name: Give the action a clear name, like “Update Customer’s Birthday”, so you can easily find it later.
- Select Field: Pick the field you want to update from the dropdown, such as name, business name, or date of birth.
- What to Update: Add a brief description of the field. For example:
- For Date of Birth, you might write: “This is the customer’s birth date.”
- For Business Name, try: “This is the customer’s business name.”
- This helps the AI tailor its responses accurately.
- Output Example (Optional): If relevant, include an example of the data, like “10th Feb 1985” for a date of birth.
- Hit Save to lock in your settings.
Additional Tips for Success
- Always include a clear instruction in the chatbot’s prompt to ask for the customer’s details. For example, if you’re collecting a date of birth, add: “Ask the customer for their date of birth.”
- If you skip this step, the bot won’t prompt the customer, and the field won’t update.
- Best Practice for Prompts: If you need to collect multiple details (e.g., name, email, phone, business name, date of birth) before booking an appointment, add this to your prompt:
